To the Writers here...I Need Help Wording a Business Letter: THANK YOU!!

Dear Smart Mamas,

Every time I sit down to write this request I just get stuck....probably because it's sooo important to me

The bottom line is this.....I have a business meeting tomorrow with 2 very wealthy Non-Profit foundations. We will be entering into a partnership. It is a new venture for all of us, which we are all ecstatic about the training possibilities and the future for the participants involved.

I have a girlfriend, who's husband is a successful entrepreneur. I met with him to discuss the specifics of how to set up a partnership. He is incredibly smart and offered to attend the meeting with me, to offer his expertise. I naturally want him to attend on my behalf.

So, question...how do I word this simple request...I need to email the 2 CEO's of the foundation and give them a heads up, do I request their permission, but then they could say no. How do I simply state, I am bringing my business consultant. I just draw a blank, when it comes to providing my own advice.....

So What Happened?

Thank you all sooo much. Letter was sent. Meeting is over. I'm home and it went incredibly well!! The Partnership details will be worked out starting in January. I'm beyond ecstatic. It's a perfect match for all of us!!

Since you are emailing, you don't have to be extremely formal. Take the simple, honest approach. Email them saying I look forward to our meeting tomorrow. I feel this is a great opportunity for all involved and, as I am new to partnerships, I will be bringing a consultant, Mr. ____________, to help walk me through the specifics. Best wishes.

Keep it short and simple.

Dear _ and _

I'm very excited about our new venture and all that we'll be able to accomplish.
I just wanted to let you know, my business adviser ___ will be at the meeting with us. He is in the loop on all of my business affairs and is extremely discreet and professional.
I didn't want to have an additional person at the meeting, without having given you the heads-up ahead of time.
We'll see you tomorrow at ___ blank time and place. I'm looking forward to meeting with both of you!

I need to do this all the time! It depends a little on the location of the meeting and who the leader/organizer is, but here is my best shot.

Hi, ABC. I wanted to thank you for arranging our meeting on DEF tomorrow afternoon. I have asked a colleauge (NAME HERE) to join me. NAME is a friend and a professional GHI, and I expect he will be valuable to me at the meeting as a second pair of ears. Could you add him to the meeting attendee list?? Thanks so much, and looking forward to seeing you.

All of the below suggestions are great. I would definitely keep it short and professional and do not ask, tell. Its your right to have him there and if they don't want him present for whatever reason, it's a little suspect. I liked SM's template a lot except I would say "Please add him to the meeting attendee list" rather than "could you add?". Good luck!
