How does a prospective employer verify proof of a diploma from college
on a student that graduated in January but won't receive the actual
document until May. Do they call the school? Does student need to

Employers know how to get this information from the school. This is a standard part of any background check. The employer will ask the prospective employee to sign a release for them to do a background check. If they also need an official transcript, the employer will ask for one, and this can be obtained by the student by submitting a request to the school.

This is actually part of what I do for my job. Studentclearinghouse is an online website that gives the information needed. They do charge. Some schools are not signed up with them. If that is the case, then they provide the number of the college so that I may get this information on the phone with them. This is public information. All I need is your S.S# and I am able to get the information I need. There are a very select few colleges that require a release of information from you.
That information is typically indicated on the "official transcript"- mine have the "date enrolled" and "date conferred" at the bottom of my transcripts. You could also request that the Registrar provide documentation as I am sure they encounter this frequently.
Your son would need to sign a release to have anything released to or from the school or employer. Most job applications require this signed release.
Either their HR staff or their background check firm will call the university to verify. Not sure, but they may even be able to obtain the verification online these days.

It will be noted on the official transcripts. The date of program completion/graduation is listed on the transcripts even if the 'walking' and 'paper diploma' do not happen until May.
Just have the student request that an official transcript be sent directly to the prospective employer. Also, if the student has a credential file with the career placement office at the college it will typically include a transcript that is considered 'official'.

Most employers do not check, they will check previous employment and references. If they do need the info they will call the school or ask you for a transcript. I would just let them know in the interview that you'd be happy to supply a transcript if needed.
I'm sure if you inform the school that you need proof of graduation for employment reasons, they shouldn't have any trouble getting that info to you for your prospective employer. I would refrain from asking the employer to do it b/c that's not their place to get 'your' information. I've never had to do that so I hope this bit of advice helps, I'd just call the school & talk to them for advice. Good luck!!
Get the written release before asking. They should really insist on having a signed document before verifying it. I would phone the college and ask them their policy. I would verify because my own niece lied about graduating in May, but she really didn't get a degree until August. It cost her jobs for LYING as it should have.
